How did you decide to get into your line of work?

As an accounting software trainer, I was asked by many clients if they could recommend a good bookkeeper - so I identified a need for business owners to have someone they could trust to work with them in keeping their accounts up to date.  Today, I train small business owners, their bookkeepers and also manage the bits of the accounting/BAS preparation and lodgement that they would rather have someone more experienced do.

Do you have a favourite customer story you would like to share?

I recently had a customer approach me who had given up on Xero - their last bookkeeper had failed to set it up correctly or to give them any training.  I assisted the client to setup a new datafile and with proper training he has been able to save both time and money by using a cloud accounting program.

What do you like most about your job?

I get a lot of satisfaction from working collaboratively with clients using the "single ledger approach" made possible with online accounting programs.  As a trainer, I assist clients to understand what the numbers mean and encourage them to get involved because at the end of the day we're in business to achieve success which is measured in monetary goals.  When clients are able to login and get the information they need because their accounts are up to date and this allows them to make important decisions - I am very pleased that I took them on the journey.

What questions should a customer ask to hire the right service professional?

Does the bookkeeper have experience in your industry, do they have experience in the software and are they accredited by the software vendor.  Do they have professional indemnity insurance? Are they are a member of a professional body? Is their transparency in what they are doing for you?  For example are they willing to show you how to use the software program to access reports for yourself?  Are they willing to liaise with your Tax Accountant?

What questions do customers commonly ask and how would you answer them?

Our support covers a wide range of small business accounting issues ranging from "what software should I use?", "what are my employer obligations?" "when is my BAS due?" "what is the best way to manage expenses?  We are also frequently asked to refer a good Tax Accountant.  Due to our length of time in the industry, we have forged strategic alliances with many Tax Agents and are able to make recommendations.  Other concerns relate to saving money on account keeping fees.  As we use a collaborative approach to bookkeeping by using online accounting  such as Xero and QuickBooks Online, business owners can save money by choosing how much or little they are prepared to do.  Clients who sign up to 12 month contracts are provided with complementary training and support.

We have been in business for over 20 years - we are legal BAS Agents and members of the Institute of Certified Bookkeepers.  This means that we are bound by ethical and professional standards and you have recourse to disciplinary action and compensation.

Simply we know our stuff, we can cut to the chase, get your accounts sorted, lodge your BAS returns, liaise with your Tax Accountant and work with you to grow your business.  Timely and accurate account keeping puts you in control of your business.  Monthly reporting is what we aim for and we work with you to ensure that you can get the information you need to make the right decisions.

What are the typical things that you need to know before you can provide a quote to a customer?

To provide a quote we need to know the type of industry you are in, the software you wish to use, the volume of transactions involved.  If you invoice your customers, the number of invoices monthly. The number of supplier invoices you receive monthly and the number of transactions on your bank statement monthly.

How can a customer save money before you start the work? Please give 3 tips

Accepted Answer

Bookkeeping is reliant on source documents.  BAS Agents must enter data which can be supported by documents which can provide evidence of tax deductions and GST credits in case of audit.  Before giving work to your bookkeeper you should provide all supplier invoices with date and method of payment and do this in chronological order.  All bank statements need to be provided and these need to have all supporting documents attached ie if you have made an internet transfer - the supplier invoices these payments relate to.  If there are cash expenses these need to be supplied in date order and coded as to type of expense.  We would ordinarily supply you with the categories of expenses related to your business so you can indicate the expense type.  If you have employees and you need to have their wages recorded you need to supply us with your wages book showing gross wages, tax and super if you have already paid these wages.  You also need to provide us with holidays taken and sick days taken including details of any extra payments ie overtime or bonuses.

We make clever use of technology to minimise data entry.  Clients pay for higher value added service of a virtual CFO.  We don't compete on price and prefer clients who value quality of service. Cash is the lifeblood of a business and we want our clients to be able to monitor their cashflow in realtime by using cloud software which allows this to happen more effectively than either paper or desktop systems. It also allows for transparency and we include free training for our clients.

How do you normally charge for your service?

We charge by the hour as we believe this is fairer for us and the client.  However, if you have a backlog of bookkeeping we can quote the job.  We will require you detail the volume and type of transactions involved.
